THE BRIEF
Our shared drive has 14 years of files and nobody can find anything. There are folders like 'NEW FINAL' and 'Ben old stuff.' We need a plan to clean it up without losing anything.
Scenario: Office manager at a small architecture studio
Package: File and folder cleanup plan · $25 · 2 hrs
The system in one paragraph: every file lives in one of five top folders, every project folder starts with its year and project number, and every file name starts with a date. Nothing is deleted during cleanup; old files move to an Archive folder for 90 days first. You can find any project in two clicks.
THE FIVE TOP FOLDERS
- 01 Projects
- 02 Proposals
- 03 Admin (HR, finance, insurance)
- 04 Library (standards, templates, product sheets)
- 99 Archive
PROJECT FOLDERS
Format: year-projectnumber-client-short name
Example: 2026-118-Harmon-Lake House
Inside every project, the same 6 folders:
- 01 Contract
- 02 Drawings
- 03 Photos
- 04 Consultants
- 05 Permits
- 06 Closeout
FILE NAMES
Date first, so files sort themselves:
2026-10-28 Harmon floor plan v3.pdf
2026-11-02 Harmon permit set.pdf
No "final," no "new." Use v1, v2, v3.
THE CLEANUP, STEP BY STEP
- Week 1: Make the new folders. Don't move anything yet.
- Week 2: Move active projects (about 30). Each project lead moves their own.
- Week 3: Move everything else to 99 Archive, in its old structure.
- Week 4: Anyone who needs an old file pulls it into the new structure.
- After 90 days: Review the Archive. Anything not opened gets backed up to an external drive.
WHAT I FOUND
- 41,200 files, 380 GB.
- About 6,800 likely duplicates (same name and size).
- 112 folders with "final" in the name.
THREE QUESTIONS
- Do project numbers already exist, or should we start them?
- Who can delete from the Archive after 90 days?
- Are there client files you're legally required to keep for a set number of years?
